Upload and share documents
Upload documents, share them with the tenants who need them, and keep an eye on expiry dates and storage.
TenantSee provides secure document storage for leases, receipts, inspection reports, and other property-related files. Documents are stored in the cloud and belong to your company. Your team can see them all, and a tenant sees only the ones you share with them.
Uploading documents
- Navigate to Documents in the sidebar
- Choose Add Document, then drag and drop files into the upload area or choose them from your device. You can add several files at once
- Optionally choose a Category and an Expires date. They apply to every file in this upload
- Choose Upload to send the files
Files are PDF, Word, Excel, PowerPoint, text, CSV or images, and each can be up to 10 MB in size.
You can also upload from a unit's Documents tab, which links the document to that unit, or from a tenant's page, which links the document to that tenant and shares it with them.
Sharing a document with a tenant
Tenants see a document only once you share it with them. A shared document appears in their Documents page, read-only.
- Open the document
- In the Shared with panel, choose Share
- Pick the tenant
The tenant gets a notification. The panel lists each tenant the document is shared with and whether they've opened it. To stop sharing, choose the close icon next to their name (Stop sharing with that tenant); access ends at once, and you can undo it.
You can't share a document with someone who hasn't accepted your invitation yet. The Documents list has a Shared with column that counts the tenants each document is shared with.
Document categories
Organize your documents by category for easy filtering:
- Lease — Rental agreements and lease documents
- Insurance — Insurance policies and certificates
- Inspection — Property inspection reports
- Permit — Building permits and licenses
- Tax — Tax-related documents and receipts
- Maintenance — Maintenance records and repair documentation
- Other — Any document that doesn't fit the above categories
The Documents list has a category column and a category filter.
Expiration dates
An expiration date shows in red once it has passed and in amber within 30 days of it. Documents expiring in the next 30 days are listed on Home under Needs attention, and you can get a notification about them with Document expiring in Settings → Notifications.
Storage limits
Document storage is included with your subscription plan:
| Plan | Storage |
|---|---|
| Hobby (Free) | 500 MB |
| Starter | 2 GB |
| Growth | 10 GB |
| Business | 25 GB |
A storage indicator shows how much space you've used. When a file won't fit in what's left of your plan's storage, you'll need to upgrade to upload it.
Secure access
All documents are stored securely in the cloud with the following protections:
- Documents are scoped to your company — other companies cannot access your files
- Download links expire after 1 hour for security
- Only users with document permissions can view and download files
