Message your tenants or your landlord
Write to your tenants or your landlord in TenantSee, and how maintenance updates and notifications work.
TenantSee has two places where landlords and tenants write to each other:
- Maintenance updates, on every plan. Each maintenance request has its own Updates thread for replies, photos and status changes. See Track a repair from request to fix.
- Messages, on the Growth plan and up. The Messages page is an inbox of direct conversations between your company and your tenants, for anything that isn't a repair.
Everything in a conversation is kept with it, so you can scroll back to what was said and when.
For landlords
The Messages inbox Growth plan
Open Messages in the sidebar. Your conversations are listed with the newest activity first. A conversation with something you haven't read has a dot beside it, and the sidebar and the page title show how many are unread.
To find one, type in Search conversations: it looks at the person (the tenant, or the company), the unit and building, and the subject, and every word you type has to match. Choose Unread to see only the conversations you haven't read, and All to go back. The arrow keys move between conversations in the list.
On a computer, the list sits beside the open conversation. On a phone, the list fills the screen; open a conversation to read it, and use Messages at the top to go back.
On Hobby and Starter, the Messages page shows what the Growth plan includes and a way to upgrade. Your conversations are kept if your plan changes: if you move below Growth, Messages closes for your team and your tenants, and everything comes back when you return to Growth or Business.
Start a conversation
- Open Messages and select New Message
- Search for the Tenant by name or email
- Choose a Unit if the message is about one. If the tenant has one lease, it's filled in for you
- Add a Subject if you like
- Write your Message and select Send Message
You can also start one from a tenant's page: open the ⋯ menu and choose Send Message.
If you already have a conversation with the tenant you pick, TenantSee says so and offers Open It, so a follow-up goes in the same place. You can still send a new message to start a separate conversation, for a different subject or unit.
A conversation is between your company and one tenant. Everyone on your team who can read messages sees it and can reply. You can message a tenant once they're linked to your company: while an invitation is waiting for their answer, nothing can be sent to them.
Internal notes stay with your team
Internal notes exist only in maintenance request threads. When you reply on a request, choose Internal to write a note that only your team can see. Tenants never see internal notes: not in the thread, not in notifications or emails, and not in their data export. Messages in the Messages inbox are always visible to the tenant. To keep a private note about a tenant, use Notes on their page.
Who can use Messages
On your team, the default Owner, Admin and User roles can read and send messages. On the Business plan, a custom role needs the messages permissions added under the Roles tab of Settings → Members. A role that can read messages but not send them sees the inbox with a note saying who to ask for access.
For tenants
Message your landlord
If your landlord uses Messages, you'll see Messages in your sidebar.
- Open Messages and select New Message
- If you rent from more than one landlord, choose the Landlord
- Choose a Unit if the message is about one, add a Subject if you like, and write your Message
- Select Send Message
If you don't see Messages, your landlord doesn't use it in TenantSee yet. For repairs, submit a maintenance request: it has its own updates thread on every plan.
You can still read and reply to your conversations after you move out, as long as your landlord keeps your tenant record. If they remove it, the conversation is no longer shown to you.
Writing and sending
- Enter starts a new line. Press ⌘ + Enter (Mac) or Ctrl + Enter (Windows) to send, or use the send button.
- Attach up to 5 photos to a message with the photo button: JPEG, PNG or WebP, up to 10 MB each. You can send photos with no text.
- New messages appear without reloading the page.
- Messages can't be edited or deleted once sent, so check before you send.
Notifications and email
When someone writes to you, you get a notification in the bell and an email with the start of their message and a link to the conversation. A busy conversation doesn't flood you: while its notification is still unread, new messages don't add another, and you get at most one email for it every 15 minutes.
To choose what you hear about, go to Settings → Notifications:
- Messages > New message covers the Messages inbox
- Maintenance > Maintenance message covers replies on maintenance requests you're part of
Each can be turned off in the app, by email, or both.
